Department of Trade and Industry Personal Assistant

The International Trade and Economic Development Division within the dti has a vacant position for a Personal Assistant which is now open for applications. The main purpose of this position towards the applicant that will be appointed successfully is to handle and manage all referred correspondence or documents from the other divisions. Assist with secretarial duties like answering of telephones, welcoming visitors and serving of refreshments in the absence of the receptionist.

Requirements and Duties:

Requirements:

>>Matric and/or Secretarial Diploma or Office Administration.

>>2-3 years experience in an office administration environment.

>>Appropriate knowledge and experience in office administration and financial administration.

>>Knowledge and experience in Human Resource administrative matters.

 

Duties:

>>Handle and manage all referred correspondence/ documents from the other divisions

>>Develop, implement and monitor tracking system for correspondence/ documents (keeping of correspondence register)

>>Draft letters, submissions and memoranda

>>Maintain a filling system and handle telephone accounts

>>Assist with the administration of human resource matters/issues such as leave, role profiles, filling of posts, post establishment etc.

>>Assist with recording and drafting of minutes for the Division and the Chief Director meetings including other meetings held by the division

>>Assist with compilation of the Chief Director’s budget and other finance related matters

>>Arrange workshops and conferences for the Division and Chief Directorate.

>>Arrange refreshments for meetings

>>Assist with secretarial duties (answering of telephones, welcoming visitors and serving of refreshments) in the absence of the receptionist

>>Assist with other administrative duties as delegated by the Chief Director.

>>Diary management

>>Attend to Travel arrangements, advances, claims and requisitions for manager.

>>Events management.

>>Computer literacy (MS Office suite).

>>Good communication skills (written and verbal).

>>Excellent planning and organisational skills.

>>Ability to work under pressure and independently.

>>Knowledge and understanding of the practices and regulations applicable to administrative support services in the Department.

>>Good interpersonal skills

>>Creative and innovative thinker.

>>Computer literacy (MS Packages)

>>Ability to work in a co-ordinated team.
